Resolution Authorizing the City Manager to Enter into a Five (5) Year Contract with Toshiba America Business Solutions, Inc. for City Wide Copier Management Services for a total estimated cost of $490,000

LEGISLATIVE INTENT/PURPOSE:
This Resolution authorizes the five year contract with Toshiba America Business Solutions, Inc. for a total estimated cost of $490,000. Toshiba America Business Solutions will provide copy management services to the City’s business offices. The term will begin on July 1, 2024 and continue through June 30, 2029.
This contract will be awarded through the National Intergovernmental Purchasing Alliance (NIPA) Cooperative Purchasing Program. N.C. Gen. Stat. §143-129 (e)(3) provides an exception for acquisitions made through a competitive bidding group purchasing program, such as NIPA, that offers discount prices to public agencies. The Statute provides this exception to the usual acquisition process when the competitive requirements are satisfied by cooperative buying groups.
Toshiba America Business Solutions, Inc. has been the provider to the City for copy management services over the past five years. The City has been satisfied with their services. Funding is contingent upon Council’s approval of the FY25 budget for the first year of services at a cost of $98,000.
THEREFORE, BE IT RESOLVED:
THAT, the City Manager is authorized to enter into the five (5) Year Contract with Toshiba America Business Solutions, subject to appropriation of sufficient funds, through the National Intergovernmental Purchasing Alliance (NIPA) Cooperative Purchasing Program for an estimated cost of $490,000.
