PURPOSE

The purpose of this resolution is to authorize the City Manager to enter into an agreement in the amount of $130,674 for the annual contract renewal with the CIP Planner Corporation, a provider of the enterprise-class software suite CIPAce, with options for two additional one-year renewals.    This contract renewal will continue annual support and maintenance through 06/30/2027, and subsequent renewals may increase by up to 5%, with the total cost for all three years not to exceed $411,954.

 

BACKGROUND:   

CIPAce is a Capital Project Management Software that provides project management capabilities, including but not limited to project tracking, transparency, and consistent reporting.  This software allows City staff to access historical and current project information as projects move through the project management phases.

 

The CIPAce software package was first approved in the FY22 adopted budget, and the contract with CIP Planner Corporation included an initial three-year term. Following a year of software customization and testing to match the City’s needs, the program officially went live in June 2023 for staff use. For the last three years, the proprietary CIPAce software has helped City staff in managing capital projects from planning, design, and construction.

BUDGET IMPACT:  

The $130,674 annual renewal cost is funded through the FY27 IT Department budget. Funding for subsequent years is subject to future budget approval in FY28 and FY29.
